How to import bank statements into Xero from a PDF

Xero accepts bank statement files in CSV, OFX, QIF and QBO formats. It does not accept PDFs. For catch-up work, CSV is the most flexible.

  1. Convert the PDF into a CSV with the columns Date, Amount, Payee, Description and Reference. Amounts are signed: money in is positive and money out is negative.
  2. Use one date format for the whole file. Xero asks you to confirm it during import.
  3. Import: go to Accounting → Bank accounts → choose the account → Import a statement. Upload the CSV and assign each column.
  4. Check the statement balance against the closing balance on the PDF. If they differ, find the missing or duplicated line before you reconcile.

If bank feeds already cover part of the period, import only the gap so you don't create duplicate statement lines.
